Keeping track of the overall costs for a project can be an important factor in allocating resources or managing labor expenses.

By setting an individual user’s cost rate, you can easily compare the internal cost of that person’s time to the external rate that might be charged to a client.

Set a cost rate when adding a new user

When adding new users to Timely, you can set their default hourly rate along with their cost rate – right from the start.

1. Head to the People page in Timely.

2. Click the “+New User” button in the top right-hand corner.

3. Fill out the user’s details.

3. Scroll down to the “Rates” section and set the desired amount.

Note: Much like the option for billable rates, you can choose to limit the visibility of the cost rate to just Admins. This visibility is limited by default and can be managed under the “Access Level” section.

Edit a user’s cost rate from their Permissions page

1. Head to the People page in Timely.

2. Click the user’s name you’d like to edit.

3. Click “Edit User” in the top right-hand corner.

4. Scroll down to the “Rates” section and set the desired cost rate.

5. Click “Update Person”.

Note: When editing an existing user’s cost rate, you’ll be asked to confirm whether this rate should apply to new entries going forward, or all entries across the board.

Exporting Cost Rates data

Once you have your team’s rates set up, it’s a snap to review the logged and planned cost as part of our rich data export process.

1. Head to the Reports section in Timely.

2. Create a custom report or utilize one of the pre-made templates.

3. Tweak the settings to make sure you have the desired date range and data points.

4. Click the “Export” button in the top right-hand corner.

5. Check the “Logged Cost” and “Planned Cost” option under “Included Columns”.

6. Click “Export as Excel” or “Export as CSV”.

Note: Logged Cost and Planned Cost can only be exported to either Excel or CSV file formats at this time. More to come soon!
